AA Transfers booking terms — effective 19 July 2026.

1. Who We Are

These Terms and Conditions govern the transport services provided by AA Transfers (“we”, “us”, “our”), a private hire and chauffeur service based at Clover Ave, Exeter EX4 2PU, United Kingdom.

By making a booking with us — online, by telephone, by WhatsApp or through a third party acting on your behalf — you accept these Terms. Please read them before you book.

2. Bookings

A booking is a request until we confirm it. Confirmation is sent by email and, where applicable, by SMS. Only a confirmed booking creates a contract between us.

Bookings must be made at least 6 hours before the requested pickup time. For journeys at shorter notice, please contact us directly and we will tell you whether a vehicle is available.

You are responsible for the accuracy of the details you give us — pickup address, destination, date, time, flight number, passenger count and luggage. We cannot be held responsible for delays or additional charges caused by incorrect or incomplete information.

3. Fares and Payment

The price shown when you complete your booking is fixed for the journey described. It is not an estimate and does not change with traffic, route or time of day.

Any price shown before you select a vehicle class is indicative only. The binding price is the one confirmed at the end of the booking process.

Your fare includes VAT where applicable, airport parking and drop-off charges, and the free waiting time set out in section 4.

The following are charged in addition to the fare, and are shown before you confirm:

  • Meet & greet inside the terminal — £6.00
  • Additional stops requested during the journey
  • Waiting beyond the free allowance, charged pro rata
  • Cleaning costs where a vehicle is soiled by a passenger

Return journeys are charged at twice the single fare, with a 10% discount then applied to that combined total automatically at booking.

Online bookings are paid in full at the time of booking. Where we agree that you may pay the driver, payment is due at the end of the journey by cash or card. We also accept Apple Pay, Google Pay and PayPal online.

4. Waiting Time and Flight Delays

We monitor arriving flights and adjust your pickup time automatically when your flight is delayed or lands early. You do not need to tell us about a delay, provided you gave us your flight number when booking.

Free waiting time is included as follows:

  • Airport pickups — up to 60 minutes after the flight lands
  • Seaport and station pickups — up to 30 minutes
  • All other pickups — up to 15 minutes from the booked time

After the free allowance, waiting is charged pro rata at the hourly rate for your vehicle class, which we confirm to you before any such charge is applied. If we have tried to reach you and you have not contacted us by the end of the free waiting time for your pickup — measured from the adjusted pickup time where flight tracking applies — the booking may be treated as a no-show under section 5.

5. Changes, Cancellations and No-Shows

You may change or cancel a booking by contacting us using the details in section 9. The following applies from the time we receive your request, and where more than one of them applies, the one giving the smaller refund governs:

  • Cancelled 24 hours or more before pickup — full refund
  • Cancelled less than 24 hours before pickup — 50% of the fare is refunded
  • No-show, or cancellation after the driver has arrived — no refund

Changes to the date, time or route are subject to availability and may change the fare. Where the new fare is lower, we refund the difference; where it is higher, the difference is payable before the journey. If we cannot accommodate a change requested less than 24 hours before pickup, you may keep the booking as it stands or cancel it under the scale above.

We may cancel a booking in circumstances beyond our reasonable control, including severe weather, road closures, accidents or vehicle breakdown. In that case we will offer you an alternative vehicle where possible, or refund your fare in full. Our liability in these circumstances is limited to the refund of the fare paid.

6. Passengers and Luggage

The number of passengers and items of luggage must not exceed the capacity stated for the vehicle class you booked. We may refuse to carry passengers or luggage in excess of that capacity, and no refund is due in that case.

Child seats are provided free of charge if requested at the time of booking. Law in the United Kingdom requires an appropriate child restraint to be used, and we may refuse to carry a child for whom no suitable seat has been requested.

Luggage is carried at your own risk. Please check the vehicle before you leave it. We will make reasonable efforts to return property left in a vehicle, but we are not liable for loss or damage to items left behind.

Smoking, including e-cigarettes, and the consumption of alcohol are not permitted in our vehicles. Drivers may end a journey where a passenger behaves abusively, unlawfully or in a way that endangers safety; no refund is due in that case.

7. Our Responsibilities and Liability

We will carry out our services with reasonable care and skill, and we will make every reasonable effort to arrive at the agreed time. Journey times are estimates: traffic, weather and road conditions are outside our control, and we do not guarantee arrival by a particular time.

Where you are travelling to catch a flight, ferry or train, please allow sufficient time for check-in and for delays on the route. We are not liable for missed departures.

Nothing in these Terms limits our liability for death or personal injury caused by our negligence, for fraud, or for any other liability that cannot be limited under the law of England and Wales. Subject to that, our total liability in connection with a booking is limited to the fare paid for that booking.

8. Your Personal Data

We process your personal data to provide the service you have booked, in accordance with the UK General Data Protection Regulation and the Data Protection Act 2018. Details of what we collect and why are set out in our Privacy Policy.

9. Complaints and Contact

If something goes wrong, please tell us as soon as possible so that we can put it right. Complaints should be raised within 28 days of the journey.

10. Changes to These Terms

We may update these Terms from time to time. The version published on this page at the moment we confirm your booking is the version that applies to it.

These Terms are governed by the law of England and Wales, and the courts of England and Wales have exclusive jurisdiction. Nothing here affects your statutory rights as a consumer.
